Coaching staff

Invite assistant coaches and team managers, customize what each role can see and do, and manage your staff roster with full control over permissions.

Inviting a staff member

Go to Coaching Staff in the sidebar (visible when a team is active). Click Invite Staff Member and fill in the form:

  1. 1Email address — Enter the email of the person you're inviting. They'll receive an email with a secure invite link.
  2. 2Role — Choose from Assistant Coach, Team Manager, or Director of Coaching. Each role comes with a sensible default permission set (see below).
  3. 3Click Send Invite. The invite link is valid for 7 days.

When the invitee clicks the link and creates (or logs into) their TactixFlow account, they are automatically added to your team with the role you selected. They'll then see your team in their account and can begin using the features their role permits.

Default permissions by role

Each role grants a different baseline level of access to your team's data:

Assistant Coach

Can view and edit the roster, create and edit lineups, view match schedule, send messages in Comms Hub. Cannot invite staff or manage billing.

Team Manager

Can view the roster, manage match scheduling and availability, manage fields and permits, access Comms Hub. Cannot edit lineups or manage staff.

Director of Coaching

Has read access across all teams in the club. Can view rosters, lineups, matches, and training plans. Cannot edit data unless given explicit additional permissions.

Customizing permissions

If the default role permissions don't match what you need, you can fine-tune them on the Permissions page. Navigate to Coaching Staff → Permissions and you'll see a toggle grid for each staff member. Individual capabilities — like "Edit lineups", "Manage fields", "View billing" — can be turned on or off per person, independent of their role.

This is useful if, for example, you want a Team Manager to also be able to edit lineups, or you want to restrict an Assistant Coach from accessing Comms Hub.

Revoking an invite

If a pending invite hasn't been accepted yet, go to Coaching Staff and find the invite in the Pending section. Click the Revoke button next to it. The invite link will immediately become invalid, even if the recipient has the email.

Removing a staff member

To remove an active staff member, find them in the Coaching Staff list and click Remove. They will immediately lose access to your team. Their TactixFlow account remains intact — they simply won't have access to your team's data anymore. If they're on other teams, those are unaffected.

Tip: When onboarding a Team Manager, start by inviting them with the default Team Manager role and then use the Permissions page to add or remove specific capabilities. This is faster than trying to set everything up from scratch.
Note: Invite links expire after 7 days. If a staff member didn't receive the email or the link expired, simply send a new invite from the Coaching Staff page.
