Match Center

Schedule matches, collect availability RSVPs from players and parents, track match readiness, and coordinate everything your team needs for game day — all in one place.

Scheduling a match

Click Match Center in the sidebar, then click New Match. Fill in the match details:

  1. 1Opponent — the other team's name as it will appear in notifications and reports.
  2. 2Kickoff date and time — use the date/time picker to set when the match starts.
  3. 3Location — enter the venue name or address. You can also link to a saved field from your Fields list.
  4. 4Home or Away — select whether this match is at your home field or away. This affects how the match appears on the schedule.
  5. 5Notes (optional) — any additional info like meeting time, parking notes, or kit requirements.

Click Save Match. The match appears in the Match Center list and on the dashboard's upcoming matches widget.

Sending availability requests

Once a match is scheduled, open the match detail page by clicking on it in the Match Center. Click Send Availability Request. TactixFlow emails all active roster players (and their parents if portal access is enabled) with a link to RSVP.

Recipients can respond with one of three statuses:

  • Confirmed — player will be there
  • Declined — player cannot make it
  • ?Maybe — player is unsure

Viewing the RSVP summary

The match detail page shows a live RSVP summary with counts for Confirmed, Declined, Maybe, and No Response. You can see each player's individual response status in the roster table below the summary. This helps you know exactly how many players to expect when building your lineup, and whether you need to arrange call-ups from other teams.

The dashboard's Match Readiness card also tracks whether you've sent availability and whether a lineup has been assigned, giving you a quick percentage indicator of how prepared you are for the next match.

Match tasks

Each match has a dedicated Tasks section on its detail page. Match tasks are a quick way to track things like "Print lineup sheets", "Confirm corner flags with field manager", or "Bring first aid kit". Tasks linked to a match show progress on the match detail page. See the Tasks article for full details.

Editing or deleting a match

Open the match detail page and click Edit Match to update any field — opponent, date, time, or location. If a match is cancelled, click Delete Match. Deleting a match also removes all associated availability responses and lineup assignments for that match. This action cannot be undone.

Tip: Send availability requests at least a week before the match to give parents enough time to respond. The more confirmed responses you have before building the lineup, the more accurate your team selection will be.
