Players & player portal

Build your roster, track player details, connect player contacts, and give them a dedicated portal to stay involved with the team.

Adding a player

Go to Players in the sidebar. Click Add Player and fill in the player's details:

  • First and last name (required)
  • Jersey number — appears on lineup cards and the substitution planner
  • Position — e.g. Goalkeeper, Defender, Midfielder, Forward
  • Date of birth — used for age verification and registration tracking
  • Registration status — mark a player as registered once their club registration is complete

Click Save Player. The player is immediately added to your active team's roster.

Editing and archiving players

Click on any player's name in the roster list to open their detail card. From there you can edit any field. If a player leaves the team mid-season, use the Archive option rather than deleting them. Archiving removes the player from active roster views and lineup slot selections, but preserves their historical match and availability data.

To view archived players, toggle Show Archived at the top of the Players list. Archived players can be reactivated at any time.

Adding a player contact

On a player's detail page, scroll to the Contacts section and click Add Contact. Enter the contact's:

  • Full name
  • Email address — used for notifications and portal access
  • Relationship — e.g. Parent, Partner, Teammate
  • Portal access — toggle on to invite this contact to the player portal (see below)

You can add multiple contacts per player. Each contact's portal access is controlled independently.

The player portal

When you enable Portal Access for a contact, TactixFlow sends them an invitation email with a link to create their own login. Once they sign up, they see a streamlined portal dashboard that shows:

  • Upcoming matches and training sessions for their team
  • Availability RSVP — they can respond Confirmed, Declined, or Maybe on behalf of the player
  • Team communications via Comms Hub threads they're included in
  • Poll responses when polls are shared with the team

Contacts cannot see other players' private details, lineups, or coaching notes. Their view is intentionally scoped to information relevant to their player and the team schedule.

Disabling portal access

If you need to revoke portal access, open the player's detail page, find the contact, and toggle Portal Access off. Their TactixFlow account remains intact but they will no longer see your team's data when they log in.

Tip: Add contacts and enable portal access before the season starts. When you send match availability requests, contacts with portal access can RSVP directly from their dashboard — reducing the back-and-forth messages you'd otherwise have to manage.
Note: The dashboard shows a count of players with incomplete registrations. Use this to track who still needs to submit their club registration paperwork before league play begins.
